Immediate Impact to Unbilled Charts

A large ambulatory surgery center was using a competitor for its coding services while facing large volumes of unbilled charts and low quality on the work being completed. They needed an immediate solution and quick implementation to turn around their situation, they contacted Vee Technologies to step in and help alleviate the situation

Barriers to Overcome


In June of 2018, the client put their coding vendor on notice and planned on full implementation with Vee Technologies within 14 days, with a full ramp up of coding in 30 days. During this period, there were multiple barriers to overcome including:

  • Multiple dictation systems for all providers
  • Client's limited support staff
  • Physician staff with habit of delayed dictation
  • Lengthy process of obtaining implant logs

Solutions and Best Practices Implemented


Our coding team was trained and gained access to their system within 14 days, and was live with coding by day 15. The staff knew the financial impact any increase in backlog would cause the client. The coding staff worked seven days a week for the next three weeks to maintain current volumes, while working down the backlog of charts. Some of the steps we took to make an impact on the backlog include:

  • Identifying the physicians with majority of the backlog and reaching out with an action plan for them to complete their dictations
  • Deploying sufficient experienced staff to improve the quality of coding
  • Implementing best practices to manage missing information reports with daily updates
  • Coordinating with the accounting team and vendors to expedite the implant invoice logs as soon as used

The Result


At the onset of the project, the client was averaging over 1,000 surgeries, which had not been coded on a daily basis. Vee Technologies was able to train, implement and ramp up within 30 days. Additionally, the quality of coding has improved and was sustained by over 15% while DNFB is averaging less than 200 outstanding on a daily basis. Due to the efforts of the Vee Technologies coding team, the client’s revenue has increased and has been maintained.

David is a graduate of Seton Hill University with a Bachelor’s degree in Accounting and a Six Sigma Black Belt post graduate certification at Villanova University.
